Terms and Conditions, Payments, Booking Information, and Cancellation Policy

Please read these Terms and Conditions carefully before booking a photo tour or workshop with Claire Thomas Photography. By submitting your booking form and deposit, you acknowledge that you have read, understood, and agree to be bound by the following terms.

 

1. Registration & Payment

1.1 Registration

Your place on a tour is confirmed once Claire Thomas Photography Ltd receives:

  • A completed and signed booking form, and
  • The required 20% non-refundable deposit per participant.

1.2 Payment Schedule

  • The remaining balance is due 90 days before the tour start date, unless otherwise stated.
  • Registrations made after the final payment deadline require payment of the full tour fee within 3 business days.

1.3 Payment Methods

Payments can be made securely online via Stripe or bank transfer.

2. Cancellation & Refund Policy

2.1 Cancellations by Participant

Travel insurance is strongly recommended to protect your booking.

All payments are non-refundable.

If you cancel within 90 days of the departure date and your place can be filled, you will be refunded the amount paid minus the deposit.

If your place cannot be filled, no refund can be issued.

2.2 Cancellations by Claire Thomas Photography

We reserve the right to cancel a tour for reasons including (but not limited to):

  • Insufficient enrolment
  • Natural disasters
  • Political instability
  • Health emergencies
  • Other circumstances making the tour unsafe or unfeasible

If we cancel a tour, all payments received will be fully refunded. This refund constitutes the limit of our liability.

We are not responsible for costs incurred in preparing for the tour (e.g., flights, visas, equipment purchases, insurance).

3. Travel Insurance

Participants are strongly advised to purchase:

  • Trip cancellation insurance
  • Medical and evacuation insurance
  • Baggage and equipment insurance

All costs arising from medical issues, evacuation, repatriation, or related emergencies remain the responsibility of the participant.

4. Itinerary & Changes

4.1 Flexibility of Itinerary

Tour itineraries may be modified due to circumstances beyond our control, including but not limited to:

  • Weather conditions
  • Road closures
  • Political events
  • Transportation issues
  • Local ceremonies or restrictions

Changes may be made without consulting participants. Such modifications do not entitle participants to refunds or compensation.

4.2 Delays and Unexpected Costs

Costs resulting from delays or itinerary changes — including extra accommodation, meals, or transport — are not included in the tour fee.

5. Participant Responsibility

By joining a tour, participants affirm that they:

  • Are physically and mentally able to participate in tour activities
  • Will follow safety instructions and local regulations
  • Understand the nature of travel in remote regions (e.g., Mongolia)
  • Accept the inherent risks of adventure and documentary travel

Participants are responsible for their personal belongings, including camera gear.

6. Liability Waiver

Claire Thomas Photography is not liable for injury, loss, damage, or expenses arising from:

  • Weather, natural disasters, or wildlife
  • Illness, quarantine, or medical issues
  • Delays, strikes, or missed transport connections
  • Theft, loss, or damage to personal property
  • Government actions or political disturbances
  • Any events outside our control

In case of a medical emergency requiring evacuation or repatriation, all associated costs are the sole responsibility of the participant.

7. Use of Images

Participants are welcome to photograph throughout the tour. Claire Thomas Photography may take behind‑the‑scenes photos or videos during tours and may use these for promotional purposes unless a participant requests otherwise in writing.

8. Governing Law

These Terms and Conditions are governed by the laws of the United Kingdom, where Claire Thomas Photography is legally registered.

9. Acceptance of Terms

By submitting your booking form and deposit, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
